For this blog, we spoke to Maria McDonnell, one of our Operations Specialists at Head Office, about the safety protocols at Kool Kidz.

Staying Ahead of Industry Standards

Recent developments in Victoria’s early childhood education sector have prompted a state wide review of safety protocols, with new reforms being announced to strengthen child protection measures.

We’re pleased to share that many of these recommended changes are already standard practice at Kool Kidz centres.

Our proactive approach to child safety means we’ve been implementing comprehensive protection measures for years, ensuring your little ones are safeguarded in every aspect of their daily experience with us.

Maria explained: “We’re focused on policy and what we can enforce as an organisation to ensure the best quality care. Many of the changes being suggested, Kool Kidz already has in place, and even if you look at the standards, we’re already going above and beyond.”

Comprehensive Staff Training and Support

One of the ways we ensure every child is safe is by requiring every member of our team to undergo child safe training annually, with specialised programmes tailored to different roles within our centres.

During induction, all educators complete comprehensive child safe standards training, whilst our leadership team receives additional specialised training on incident management and reporting procedures.

Our robust training programme includes mandatory reporting requirements, ensuring that any concerns are addressed immediately and appropriately.

Physical Safety Measures You Can Trust

Your child’s physical safety is protected through multiple layers of security and supervision. We also maintain staffing levels above the required ratios in all rooms as part of our quality care.

“At Kool Kidz we have embedded a rostering philosophy which has been in place for over 5 years. This means that we staff above ratio in all rooms, across all of our Kool Kidz Services. This ensures that we have consistency in staff across the board and that most importantly children have access to consistent educators.” Maria explains.

Our centres are equipped with CCTV cameras in every room, not to monitor educators, but to provide additional protection and clarity should any incidents or allegations arise.

Even our bathroom design reflects this commitment. In more recent builds, children’s bathrooms have privacy cubicles, frosted windows, and closed doors.

Families are not permitted inside these bathrooms, but we offer adult bathrooms equipped with nappy change tables for use at pickup or drop off.

Rigorous Background Checks and Protocols

Everyone who enters our centres, including staff, students, volunteers, and regular contractors, must provide a valid Working with Children Check and read, understand, and sign our comprehensive code of conduct.

These checks are verified every six months and renewed every three years.

Our enrolment forms now include acknowledgment from families that personal devices are not to be used in any areas within the services including outdoor yards. Our Code of Conduct ensures that no personal devices are kept on staff, students and volunteers that enter children’s areas. We also maintain strict “no photography” rules during tours and excursions to protect all children’s privacy.

Daily Safety Procedures

Each day begins and ends with comprehensive safety checklists conducted by our dedicated staff. These include thorough yard checks for any potential hazards, equipment inspections, and constant supervision assessments.

Every centre has an appointed child safe advocate who ensures that reportable conduct policies are taken seriously and that staff remain updated with any new developments.

We conduct regular risk assessments in every room, paying particular attention to maintaining children’s privacy and reviewing protocols whenever incidents occur.

Our systematic approaches ensure that potential risks are identified and addressed before they can impact your child’s safety.

Empowering Your Child’s Voice

We believe that children’s voices are paramount in creating a safe environment. Through our child-centred programming approach, we listen carefully to what your child tells us.

This ‘child’s voice’ initiative allows us to identify if a child is disclosing something concerning, and we take every disclosure seriously with appropriate follow-up action.

“We integrate the ‘child’s voice’ into our learning experiences,” Maria shares. “If a child’s behaviour or words suggest they’re trying to disclose something, we take it seriously. It’s part of creating a culture where children feel seen and heard.”

Regularly Enhancing Our Safety Measures

We continually evolve our safety protocols to meet and exceed industry standards. Our head office team has developed comprehensive standard operating procedures that provide clear, step-by-step guidance for our educators in various scenarios.

These procedures ensure consistency across all our centres and give our staff the confidence to handle any situation appropriately.

Supporting Our Community

Using Australian Early Development Census data, we can also identify specific vulnerabilities within our local communities and tailor our support accordingly.

This data-driven approach allows us to better utilise government funding, such as School Readiness funding, to provide targeted professional development for our staff and provide tailored support for children.
